Frequently Asked Questions

  • How can we purchase items for our club?

There are a few options for making club purchases:

    • Club Advisors may purchase items through UMarket. Detailed justification, budget number, and ship to address must be included. Assign Cart to FINOPSUMARKET.
    • Club Advisors can obtain purchasing cards (Pcards) with the approval of the department head. This can be used wherever Visa is accepted and before check out must state we are a tax exempt organization. Please read carefully the policy of using one of the University’s Corporate Cards.
    • Club Advisors may fill out a check request form to have a check mailed to an outside entity.
    • Emergency out of pocket purchase. Don’t spend your own money unless it’s a true emergency and you’re willing to risk not being reimbursed.
  • Can online students join clubs?

Broadly, no, because they do not pay the Student Service Fee, which funds clubs and orgs. However, a club may choose to include online students to a certain extent, as long as they're mindful to not spend club funds on this student in the same way they would for on-campus students. For example, online students may join meetings via zoom, but maybe won't be included on group trips. There is a lot of gray area with this situation, making it an ongoing conversation on a club-by-club and case-by-case basis.

  • If we have online student members, are they included in the 35% service requirement?

No, you do not have to include online members in the total sum of active members when you fill out the service report form. We want to ensure that including online students does not impede your ability to meet the 35% requirement.
